1. The service
InspectiVault provides software for inspection administration, asset and site records, configurable workflows, report generation and controlled customer access. Features available to an organisation depend on its agreed plan and configuration.
2. Accounts and authorised use
Users must provide accurate account information, protect their sign-in method and only access information they are authorised to use. Account sharing, attempts to bypass permissions and unlawful or harmful use are prohibited. Organisations are responsible for managing their users and promptly removing access that is no longer required.
3. Inspection responsibility
InspectiVault supports record keeping and workflow consistency. It does not act as the competent person, select the correct inspection regime or replace professional judgement. The inspecting organisation, competent person and duty holder remain responsible for technical decisions, inspection scope, legal compliance and the accuracy of issued reports.
4. Customer content
The subscribing organisation remains responsible for information entered or uploaded by its users, including the authority to use personal data, photographs, signatures, logos and technical records. InspectiVault may process that content to provide, secure and support the service.
5. Availability and changes
Reasonable efforts are made to keep the service available and reliable, but uninterrupted operation is not guaranteed. Maintenance, security work, provider incidents or events outside reasonable control may affect access. Features may be improved or changed while preserving the core purpose of the subscribed service.
6. Fees and termination
Subscription fees, billing dates, included allowances, notice periods and any onboarding or migration charges are stated in the customer's order or agreement. Access may be restricted for material breach, unlawful use, security risk or overdue undisputed fees, subject to the agreed terms.
7. Intellectual property
InspectiVault and its underlying software, design and documentation remain the property of their respective owner. Customers retain their rights in their own data, logos, templates and inspection content.
8. Liability
Liability is governed by the signed customer agreement and applicable law. Nothing in these terms excludes liability that cannot lawfully be excluded. InspectiVault should not be relied upon as the sole copy of any record where the customer is legally required to maintain an independent archive or business continuity process.
